POS setup for chains and multi-branch businesses

Opening a second branch does not double the problem, it changes its shape: the question stops being “what did we sell today” and becomes “why is this branch different from that one”.

Chain solution

What a POS must solve across branches

Changing the menu in one venue is one action; across five venues it is five actions and four chances to forget. The first requirement of a chain setup is that menus, prices and campaigns are managed centrally: when head office changes a price it reaches every branch at once, or only the selected ones. If a branch is to have local authority, that too is defined as a rule — “a branch may change prices, but only by up to five per cent”.

The second requirement is comparability. When branches run on separate systems, each report is produced by its own logic and side by side they say nothing. On a single system the same item, the same category and the same hour mean the same thing everywhere, which makes it possible to ask why one branch wastes more or which menu works where. In a franchise network, that is what the standard actually is.

What changes in this business

Central menu Items and prices go out from head office to every branch at once.
Consolidated reporting Branches compare side by side on the same measures.
Roles and permissions Head office, region and branch permissions are separate.
A new branch The setup is copied so a branch opens to standard on day one.

Four things that matter in a chain setup

Menu and pricing from the centre

Items, categories, campaigns and prices are defined centrally and pushed to chosen branches. Where regional pricing differs, branch groups are defined.

Branch comparison

Revenue, average basket, item profitability and waste rates read side by side per branch, so an outlier stands out at a glance.

Franchise oversight

A franchisee runs their own operation while head office sees compliance and revenue; the limits of authority are drawn by rule.

Opening a new branch

The menu, floor template, permission structure and reports are copied from an existing branch, so a new one runs to standard from day one.

Comparison

Branches only compare when the measures match

The most common mistake in chain management is putting reports from different branches into one table and believing you are comparing them. If branches run on separate systems, item names, category structures and discount definitions do not line up, and what you get is not a comparison but two different stories placed next to each other. On a single system the definitions are shared: the same item is the same item everywhere, and the same waste definition counts the same thing everywhere.

Comparison

A shared item and category structure applies to every branch
Revenue, basket and waste rates side by side per branch
Hourly demand lets each branch plan its own shifts
Head office, branch and regional permissions are defined separately
Frequently asked

What Keten & filialen businesses ask

Yes. You can set regional pricing with branch groups, or give an individual branch local pricing authority. The authority is bounded and any change is reported back to head office.
Yes, and that is the greatest benefit of franchising: head office sees the standard while the franchisee runs their own operation. What head office can see and what the franchisee can change are set by permission rules.
The Chain plan has no limit on branches or registers. The system does not change between two branches and forty; what changes is how finely you build the head office–region–branch permission structure.
No. An existing branch is used as a template: menu, categories, permission structure and report layout are copied. Only the floor plan and branch-specific details are entered.
