POS setup for a café or bakery

In a café the problem is the queue, not the tables. Five seconds saved per order in the morning rush adds up to dozens of customers by the end of the day.

Café solution

What a POS must solve in a café

Café sales differ from restaurant sales in two ways. First, speed: the customer waits standing, the order is often a single item and payment is taken immediately, so the register needs a quick-sale screen with the best sellers one tap away, not a floor plan. Second, repetition: the same customer comes three times a week. A restaurant lives on occasions; a café lives on habit.

On the bakery side there is a third need: selling by weight. Products sold by the kilo go onto the check straight from a connected scale, the price is calculated from the grammage and recipe-based stock is deducted by the same grammage. In a flow where someone weighs by hand and multiplies on a calculator, the queue grows and what was sold never matches what left the store.

Four things that matter in a café setup

Queue management

A quick-sale screen, product groups and one-tap payment bring order time down to seconds in the morning rush.

Points and rewards

Customers are recognised by phone number; points accrue and rewards apply automatically at the register by rule.

Items with options

Milk type, syrup, size and temperature are defined on the item; the price difference applies automatically and the barista note prints on the ticket.

Hourly demand

See how many sales happen in each hour and plan shifts and production from data instead of guesswork.

Repeat visits

A café’s real job is bringing customers back

In a café the average basket is small; profit comes from visit frequency rather than basket size. So it is not enough for the register to record only the amount — it has to record who bought what and when. In HMS POS the customer is recognised by phone number, points accrue, a birthday discount applies by itself, and customers who have not been in for a while are listed in a report.
